Office's voice dictation (the Home > Dictate button in Word, Outlook and PowerPoint) is officially reserved for Microsoft 365 subscribers: in Office 2021 with a perpetual licence, the button is usually missing or inactive. The reliable solution is to use Windows voice typing, launched with Windows + H, which works in Word, Outlook, PowerPoint and Excel 2021 with no subscription. All you need is a microphone, an internet connection and two minutes of setup.
In support, the question often comes up as "the Dictate button has disappeared from my Word". It isn't a fault or a licence problem: it's a feature tied to the subscription. Here's what's actually available in Office 2021 and how to dictate your text efficiently.
Is voice dictation available in Office 2021?
Let's be precise, because many tutorials add to the confusion. Microsoft's page on dictating documents in Word states that the dictation feature is only available to Microsoft 365 subscribers. The speech recognition service runs in Microsoft's cloud and is tied to the subscription, not to the perpetual licence.
In practice, we see three situations on PCs with Office 2021 Professional Plus or Home & Business:
- the Dictate button doesn't appear at all on the Home tab, which is the most common case;
- the button is visible but greyed out or shows a Microsoft 365 sign-in message;
- the button works for a while, then disappears after an update or reinstall.
None of these situations indicates a problem with your Office 2021 licence: your applications are activated and complete. Built-in dictation just isn't a guaranteed part of them. The same goes for Office 2024 with a perpetual licence: don't buy a suite for this feature alone. The good news is that Windows provides its own free dictation tool, which covers this need very well.
What are the options for dictating in Word, Outlook and PowerPoint 2021?
| Solution | Available with Office 2021 | Applications | English | Cost |
|---|---|---|---|---|
| Office Dictate (Home > Dictate) | Not guaranteed (Microsoft 365 subscribers) | Word, Outlook, PowerPoint | Yes | Subscription |
| Windows voice typing (Win + H) | Yes | Any text box | Yes | Included in Windows |
| Word for the web | Independent of Office 2021 | Word in the browser | Yes | Microsoft account |
For everyday use in your desktop applications, Windows voice typing is the most practical: it works wherever the cursor is blinking, including an Outlook email, a PowerPoint text box or an Excel cell.

How do you turn on dictation with Windows + H in Word 2021?
The procedure is the same in Windows 11 and Windows 10. Only a few settings menus differ (see the next section).
- Plug in or enable your microphone (USB headset, built-in laptop mic or webcam).
- Open Word 2021 and click in the document where the text should go.
- Press Windows + H. A small voice typing bar appears at the top of the screen.
- If the mic isn't listening yet, click the microphone icon in the bar.
- Speak normally, sentence by sentence. The text appears as you dictate.
- To stop, say "Stop dictation", press Windows + H again or click the mic.
In Windows 11, open the gear icon on the voice typing bar and turn on automatic punctuation: Windows then adds full stops and commas itself based on your pauses. You can also turn on the voice typing launcher, which offers the mic as soon as you click in a text box.
Official details are on Microsoft's page Use voice typing to talk instead of type on your PC.

How do you set up the microphone and language?
Nine times out of ten, dictation that doesn't work comes down to one of these three settings. Check them in order:
- The microphone in use: Settings > System > Sound, Input section. Select the right device and speak: the meter should move. A webcam mic placed far from you gives poor results; a USB headset makes all the difference.
- Microphone permission: in Windows 11, Settings > Privacy & security > Microphone; in Windows 10, Settings > Privacy > Microphone. Microphone access must be on, including for desktop apps.
- The language: voice typing follows the active input language. In Windows 11, check Settings > Time & language > Language & region: English (United Kingdom) should be installed and at the top of the list. If you have several keyboards, switch to ENG with Windows + Space before dictating.
In Windows 10, also check Settings > Privacy > Speech: online speech recognition must be turned on, otherwise dictation won't start.
If you're still on Windows 10, note that voice typing is more complete in Windows 11 (automatic punctuation, launcher). That's one more reason to consider Windows 11 Professional at your next upgrade.
Which voice commands can you use?
You can dictate punctuation out loud. The commands below are the ones Microsoft documents for English; they work in Office Dictate and, for the most part, in Windows voice typing. If a symbol isn't inserted with Win + H, turn on automatic punctuation or add it with the keyboard.
| You say | Result |
|---|---|
| "full stop" / "period" | . |
| "comma" | , |
| "question mark" | ? |
| "exclamation mark" | ! |
| "colon" | : |
| "semicolon" | ; |
| "new paragraph" / "new line" | Line break |
Windows voice typing also understands editing commands:
- "Delete that" or "Clear that": erases the last word or sentence dictated;
- "Press enter", "Press backspace", "Tab": simulate the corresponding keys;
- "Pause voice typing" or "Stop dictation": turns off the mic.
Our technician's tip: dictate in blocks of two or three sentences, then proofread with the keyboard. Correcting a misheard word by hand is still faster than dictating it again.
Dictate an email in Outlook 2021 or notes in PowerPoint
The Windows + H method works the same way in the other applications:
- Outlook 2021: create a new message, click in the body text (not the subject), then press Windows + H. For the subject, click in the field and start dictation again.
- PowerPoint 2021: dictate straight into a text box or into the Notes pane below the slide, which is very handy for preparing your talk.
- Excel 2021: double-click in a cell or click in the formula bar before dictating, otherwise the text isn't captured.
For the reverse, Word 2021 can read your text aloud: Review > Read Aloud tab. It's an excellent way to spot recognition errors before sending a document.
Dictation isn't working: quick fixes
- Nothing happens with Windows + H: the cursor must be in an editable text box. Click in the document, then try again.
- Message saying the microphone is unavailable: check the permission in the privacy settings (see above) and unplug/replug the headset.
- Text appears in the wrong language: the active input language isn't the one you're speaking. Switch with Windows + Space.
- "No connection": recognition happens online. Check your internet connection, VPN or company firewall.
- Words misrecognised: move the mic closer, reduce background noise and speak at a steady pace without breaking up your words.

Frequently asked questions
Why doesn't the Dictate button appear in my Word 2021?
Because Office Dictate is tied to the Microsoft 365 subscription. With Office 2021 on a perpetual licence, its absence is normal. Use Windows + H instead.
Does Windows voice typing work offline?
No. It relies on Microsoft's online speech recognition, so you need an active internet connection.
Do you need a subscription to dictate in Office?
For the built-in Dictate button, yes. For Windows voice typing, no: it's included in Windows 10 and Windows 11 and works in Office 2021. Our article Office 2021 vs Microsoft 365 compares the other differences between a licence and a subscription.
Can I dictate punctuation?
Yes: "full stop", "comma", "question mark", "new paragraph" and so on. In Windows 11, automatic punctuation can also take care of it.
Does dictation work in Office 2021 for Mac?
Office's Dictate button follows the same subscription rule. On a Mac, use macOS dictation (System Settings > Keyboard > Dictation), which works in Word and Outlook.
Dictate efficiently with a perpetual Office licence
You don't need a subscription to dictate your letters and reports: Office combined with Windows voice typing covers the essentials. If you're setting up a new machine and want the perpetual suite supported for longest, look at Office 2024 Professional Plus for Windows; to get back the environment you already know, Office 2021 Professional Plus still works, bearing in mind it no longer receives security updates since 13 October 2026. Our support team can help you set up your microphone and language if dictation won't start.
